Please read these Terms carefully before using the Send My CV service. By sending a message to our WhatsApp number, or by using the CV builder on our website (including the free online demo), you agree to be bound by these Terms. If you do not agree, please do not use the service.
(registration number ), trading as Send My CV, operates a free CV-building service for job seekers in South Africa. The service is offered mainly through WhatsApp, and also through secure pages on our website where you can create, edit, or try out a CV in your web browser (see clause 19). These Terms & Conditions ("Terms") govern your use of the service.
References to "we", "us", or "the Company" mean . References to "you" or "user" mean the person using the service.
You may use Send My CV only if:
If you are under 18, you may not use this service. If we become aware that a person under 18 has used the service, we will delete their data promptly.
Send My CV allows you to build a professional CV through a guided WhatsApp conversation. You answer questions about your education, work experience, skills, and personal details. We use this information to generate a formatted PDF CV, which we send back to you on WhatsApp.
You can also build, edit, and download a CV directly in your web browser on our website. This includes a private online editor for your saved CV, and a free open demo that anyone can try without WhatsApp. How these work — and, importantly, how the demo does not save anything you enter — is set out in clause 19.
The service is provided free of charge. Standard WhatsApp data costs may apply depending on your mobile data plan — we are not responsible for any data costs you incur.
We use artificial intelligence tools (including Google Gemini and Groq) to assist with improving the quality of your CV text, such as correcting spelling, enhancing job descriptions, and generating profile statements. All AI-generated text is presented to you for review and approval before it appears on your CV.
We also offer an optional Interview Practice feature, where you can rehearse interview questions by sending voice notes and receive automated AI-generated feedback. This feature is described in clause 16.
We also offer an optional cover and motivation letter feature, where we write a one-page letter for a job or learnership application from your CV details and your answers to a few questions. This feature is described in clause 17.
You retain ownership of all personal information and content you provide to the service. Your CV belongs to you. We do not claim any intellectual property rights over the content of your CV.
By using the service, you grant us a limited, non-exclusive licence to store, process, and use your content solely for the purpose of generating your CV, writing your cover or motivation letters, giving you interview-practice feedback, and operating the service. This includes processing any voice notes you send to the Interview Practice or letter features in order to transcribe them — we do not store the audio recordings themselves, only the resulting text transcript (and, for Interview Practice, only with your consent). This licence ends when you delete your data (by sending RESTART).
You are responsible for ensuring that all information you provide is accurate and truthful. We do not verify your qualifications, employment history, or any other information you submit. This includes the names, contact details, and consent status of any references you list. Adding a person as a reference without obtaining their actual consent — including by misusing the reference invite link — is your responsibility. Providing false information on a CV may be unlawful and is entirely your responsibility.
We may use anonymised, aggregated insights derived from CV data (such as common skill categories across South Africa) to improve the service and for research purposes. No individual user is identifiable in this analysis.
The Send My CV name, logo, website, application code, CV templates, and all related intellectual property are owned by or licensed to . You may not copy, reproduce, distribute, or create derivative works from any part of our service without our prior written consent.
You agree not to use the service to:
We reserve the right to suspend or terminate access for any user who breaches these restrictions, without prior notice.
Your use of the service involves the processing of your personal information. Our Privacy Policy explains how we collect, use, store, and protect your information, and sets out your rights under the Protection of Personal Information Act 4 of 2013 (POPIA).
By using the service, you consent to the processing of your personal information as described in our Privacy Policy. You may withdraw consent at any time by sending RESTART on WhatsApp, which will permanently delete your data.
Our website uses Microsoft Clarity analytics cookies to help us understand how visitors use the site. This cookie is only set with your explicit consent via the banner shown on your first visit. You may decline or withdraw consent at any time by clearing your browser cookies. No CV content or WhatsApp data is shared with Microsoft Clarity.
We aim to keep the service available at all times but cannot guarantee uninterrupted access. The service may be temporarily unavailable due to:

You use the service and any CV produced by it at your own risk and discretion.
The service is provided "as is" and "as available", without warranties of any kind, whether express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, or non-infringement.
AI-generated suggestions, CV content improvements, and interview-practice feedback are provided as a convenience tool. We do not guarantee that AI-generated text or feedback is accurate, appropriate, or free from errors. You are responsible for reviewing and approving all content before your CV is finalised.
We do not warrant that the service will meet your specific requirements or that it will be error-free, secure, or uninterrupted.
To the maximum extent permitted by South African law, and its directors, employees, and contractors shall not be liable for:
Our total aggregate liability to you for any claim arising out of or relating to these Terms or the service shall not exceed R500.00.
Nothing in these Terms limits or excludes our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under South African law, including the Consumer Protection Act 68 of 2008 where applicable.

Our service is delivered over WhatsApp, a platform operated by Meta Platforms Ireland Limited. Your use of WhatsApp is subject to WhatsApp's Terms of Service and Privacy Policy. We are not affiliated with, endorsed by, or a partner of Meta Platforms Inc. or WhatsApp.
We cannot be held responsible for WhatsApp outages, changes to WhatsApp's platform, or Meta's decisions to restrict or modify the WhatsApp Business API in ways that affect our service.
You may stop using the service at any time. Send RESTART on WhatsApp to delete all your data, or simply stop messaging us.
We may suspend or permanently terminate your access to the service, without prior notice, if you breach these Terms or if we are required to do so by law. Where termination results in deletion of your data, we will make reasonable efforts to notify you via WhatsApp first.
Send My CV provides a job listings feature that displays employment opportunities sourced from third-party employers and job platforms. Send My CV operates solely as an aggregator of job listings and is not a recruitment agency, employment agency, or party to any employment relationship or application process.
All job listings displayed through the Send My CV service are sourced from third parties. Send My CV does not create, verify, endorse, or guarantee the accuracy, completeness, legality, or availability of any job listing. Job listings are displayed for informational purposes only.
Send My CV makes no representation or warranty that any job listing will result in an interview, offer of employment, or placement. The outcome of any application submitted by a user is solely a matter between the user and the relevant employer.

Users are solely responsible for independently verifying the legitimacy of any job listing before applying. Users are reminded that legitimate employers in South Africa do not require applicants to pay any registration fee, training fee, uniform fee, or any other upfront payment as a condition of employment or application. If any listing requests such payment, users should treat it as a potential scam and report it to Send My CV immediately.
Send My CV takes reasonable steps to identify and remove fraudulent listings but cannot guarantee that all listings are legitimate. Users are encouraged to report any suspicious listing by contacting hello@sendmycv.co.za. Send My CV will investigate and remove listings reported as fraudulent as soon as reasonably practicable.
When a user taps a job listing link through the Send My CV service, the user's interaction is recorded for the purpose of improving job matching and measuring service quality. This tracking is carried out in accordance with Send My CV's Privacy Policy and the consent provided by the user prior to accessing the job listings feature. No personally identifiable information is shared with any employer as a result of a user tapping a job listing link.
Users apply for jobs directly on the employer's own platform or website. Send My CV is not involved in and accepts no responsibility for the employer's application process, hiring decisions, data handling practices, or any communications between the employer and the user following an application.
By using the job listings feature, users confirm that they have provided their consent as requested prior to accessing the feature and that they understand the nature of the service as set out in this clause.
Interview Practice is an optional feature that lets you rehearse common interview questions. You reply to questions by sending a WhatsApp voice note, which we transcribe into text and analyse using artificial intelligence to give you practice feedback (for example, on the structure and clarity of your answer and your overall readiness). It is a self-help practice tool only.
The feedback is generated automatically and is provided for general practice purposes only. It is not professional, career, recruitment, psychological, or legal advice, and it is not an assessment by a human. We do not guarantee that the feedback is accurate, complete, or suitable for any particular interview, employer, or role, and using this feature does not improve or guarantee your chances of obtaining employment (see clause 9).
When you use this feature you consent to us receiving your voice note and to it being transcribed and translated into English and analysed by our AI processors (including Google Gemini and Groq) for the purpose of giving you feedback. We do not store the voice note recording itself — once it has been transcribed, the audio is discarded; only the English text transcript may be stored, and only if you consent (see clause 16.4). Please answer only in Zulu, Sesotho, Xhosa, or English. You must not record or submit any other person's voice, or any unlawful, confidential, or harmful content, in a voice note.
We store the text transcript of your practice answers only if you give your consent when prompted (we never store the audio). Where you consent, these transcripts are stored pseudonymously — linked to an internal identifier, not to your name or phone number — so that we can show you progress over time and produce anonymised, aggregated insights about how the feature is used. You may withdraw this consent at any time from the Interview Practice menu; doing so stops further storage and deletes the transcripts we have stored for you. Sending RESTART also deletes them.
If you choose not to consent, you can still use the feature — your answers are used only to generate your immediate feedback and are not retained for analytics.
The letter feature is an optional, free tool that writes a one-page cover letter (for a job application) or motivation letter (for a learnership or programme application) on your behalf. You answer a few short questions — the position or programme, the company or organisation, why you want it, and any special requirements or hopes — and we combine your answers with the career details already on your CV to generate the letter using artificial intelligence (including Google Gemini and Groq). The letter is delivered to you as a PDF on WhatsApp. Your name and contact details are added to the letter locally from your CV and are not sent to the AI providers.
The letter is generated automatically. While it is written only from the information you provided, we do not guarantee that it is accurate, complete, error-free, or suitable for any particular employer, position, or programme. You are responsible for reading the letter and making sure everything in it is true and correct before sending it to any employer or organisation. Submitting a letter containing false information is entirely your responsibility (see clauses 4.3, 9, and 10).
Some letter questions can be answered by WhatsApp voice note. As with Interview Practice, your voice note is transcribed into text and the audio recording itself is never stored — it is discarded once transcribed. You must not record or submit another person's voice, or any unlawful, confidential, or harmful content, in a voice note.
We ask for your consent the first time you use the feature. With that consent, we save your answers and your latest letter as part of your session record so you can edit your answers, reword the letter, change its design, or request a copy later without starting over. You can delete this data at any time by sending RESTART. The processing of this data is described in our Privacy Policy.
To keep the feature free and prevent abuse, we may limit how many new letters you can generate per day and how many revisions you can request in a given period. We may adjust these limits from time to time without notice.
A letter produced by this feature does not improve or guarantee your chances of obtaining an interview, employment, or a place in any learnership or programme (see clause 9).
Send My CV offers optional, free interactive "Stories" — illustrated, choose-your-path lessons that follow a fictional character ("Thabo") — on both WhatsApp and our website. These include, for example, "How to make a CV" and "The Interview". The Stories are provided for general educational and informational purposes only.
The content of the Stories — including any information about CVs, job interviews, and workers' rights (such as pay, working hours, breaks, overtime, leave, contracts, workplace safety, and fair treatment) — is general information only. It is simplified for ease of understanding, is not exhaustive, and is not legal, employment, financial, career, or other professional advice. It does not create any advisor–client or other professional relationship between you and us. You should not rely on a Story as a substitute for advice from a qualified professional, or from the relevant authority, about your specific situation.
We take reasonable care to make the Stories accurate, but we do not warrant that they are correct, complete, or up to date. Laws, regulations, and figures change over time. Any figures mentioned in a Story (for example, the national minimum wage or leave entitlements) are stated as general guidance and were believed correct as at the effective date of these Terms; they may since have changed. Your actual entitlements depend on your individual circumstances, the type of work you do, and the law in force at the relevant time.
Where a Story deals with workplace rights, it points you to the appropriate South African bodies for any actual problem or dispute — including the Commission for Conciliation, Mediation and Arbitration (CCMA), the Department of Employment and Labour (and your nearest Labour Centre), or a relevant Bargaining Council. For a real dispute or a legal question you should contact one of those bodies or obtain independent legal advice. We are not affiliated with, and do not act for, on behalf of, or in partnership with, any of them.
To the fullest extent permitted by South African law, we accept no responsibility or liability for any loss, harm, or damage arising from your reliance on, or any action you take or do not take on the basis of, any Story or its content. The disclaimers in clause 10 and the limitation of liability in clause 11 apply equally to the Stories.
The Stories are a learning tool. Reading or completing a Story does not improve or guarantee your chances of obtaining employment, passing an interview, or succeeding in any workplace matter (see clause 9).
If you read a Story on WhatsApp, we record your progress through it (for example, the furthest scene you reached and the language you chose) on a pseudonymous basis — linked to an internal identifier, not to your name or phone number — so that we can understand how the Stories are used and improve them. On our website, Story activity is measured using Microsoft Clarity analytics, which is only enabled with your consent (see clause 7). This processing is carried out in accordance with our Privacy Policy.
The Stories — including their text, characters (such as "Thabo"), storylines, and illustrations — are owned by or licensed to the Company and are protected under clause 5. The characters are fictional; any resemblance to real persons, employers, or events is coincidental. "Pick 'n Go" is a fictional store used for illustration only and is not a real business or a reference to any actual retailer.
In addition to WhatsApp, you can build and edit your CV on secure web pages hosted on our website. The features described elsewhere in these Terms — including the disclaimers (clause 10), the "no guarantee of employment" provision (clause 9), and the limitation of liability (clause 11) — apply equally when you use the service online.
When you create a CV, or when you ask us to (for example by sending EDIT ONLINE on WhatsApp), we may give you a private link to a web page where you can create or edit your CV in your browser. This link is personal to you and acts as the key to your CV — anyone who has the link can view and change your CV, so you must keep it private and not share it. For your security the link expires after a period of inactivity, and you can get a fresh one on WhatsApp at any time. A CV you create or change on this page is saved to the same secure record as your WhatsApp CV and is treated in exactly the same way under these Terms and our Privacy Policy. The "Improve my CV" option uses the same AI tools described in clause 3, and any suggestions are shown to you to keep or discard before they appear on your CV.
We also offer a free, open demonstration of the CV builder on our website (the "Demo") that anyone can use without WhatsApp and without an account, so you can try the service before creating a CV on WhatsApp. The Demo is provided for trial purposes only.
Everything you type into the Demo stays in your browser and is used only to build a live preview and to generate a PDF for you to download. We do not create an account, we do not store what you enter, and we do not link it to you. Once you close or leave the page, the information is gone and cannot be recovered by us or by you. If you want to keep your CV, you must download it before you leave the page. Because nothing is stored, the Demo does not include the AI "Improve my CV", saving, editing later, or "send to WhatsApp" features — for those, create your CV on WhatsApp, where it is saved securely and you can edit it any time. How the Demo handles (and does not retain) your information is described further in our Privacy Policy.
Once you have a completed CV, we may offer you a private link to a web page where you can add your own documents — for example your matric certificate, other certificates, a driver's licence, a reference letter or an identity document. You can take a photo of each document with your phone, or choose a file you already have. We place your CV as the first page and add your documents behind it, and the combined file is then saved to your own phone or computer as one PDF. Your existing CV is not changed or replaced — this combined file is an extra. A limit applies to how many documents you may add.
The documents you choose are combined into the PDF on your own phone or computer, in your browser. Neither the individual photos and files nor the finished PDF is ever uploaded to us: the combined file is saved directly to your device and is not sent to us, through us, or to anyone else. We never receive it, we never see it, we keep no copy, and we cannot retrieve, re-send or recover it. If you lose the file you must create it again. The only thing recorded is that the feature was used — with no file names, no number of documents and no file contents. How this works is described further in our Privacy Policy.
You decide which documents to add. You may only add documents that are yours or that you are entitled to share, and you must not include another person's personal information without their permission. Think carefully before including an identity document. We never require you to add one — only add it when an employer has genuinely asked for it, and share it only with people you trust. The PDF is saved on your own device and is in your hands from the moment it is created: you alone control who you send it to, and we are not responsible for what happens to it.
Combining your documents is an automatic, mechanical process. We do not read, check, verify, certify or validate any document you add, and we make no representation to any employer about them. We are not a commissioner of oaths and this feature is not certification — where an employer requires certified copies, you must obtain those yourself. Photographs are automatically reduced in size so the file stays small enough to send and receive on a phone, which may reduce image quality, so please open the PDF and check that every document is clear and readable before you send it to an employer.
We may update these Terms from time to time. The version number and effective date at the top of this page will reflect any changes. Where changes are material, we will notify active users via WhatsApp at least 14 days before the changes take effect. Your continued use of the service after that date constitutes acceptance of the updated Terms.
If any provision of these Terms is found to be unlawful, void, or unenforceable, that provision shall be severed from these Terms without affecting the validity and enforceability of the remaining provisions.
These Terms are governed by the laws of the Republic of South Africa. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the South African courts, without prejudice to your right to refer a consumer complaint to the National Consumer Commission under the Consumer Protection Act 68 of 2008.
